Charges & Payment
All prices are quoted in GBP Sterling and are exclusive of VAT which will be charged for all services, where applicable, at the prevailing rate. In addition, parking, tolls and congestion charges incurred by our drivers are also payable.
Airport transfer tariffs are based on one way, direct, non-stop transfers. We allow a grace period of 10 minutes for outbound transfers & 45 minutes from the flight landing for inbound transfers. Should any waiting be incurred (over & above our 45 minute grace period from the flight landing) then additional charges will apply and increased airport parking charged at cost.
Our drivers and office team will monitor all inbound flights to minimise/avoid any waiting time at the airport. With regards to any flights arriving from the EU, it is not always possible for the driver to be aware of any delays before leaving our base in Northampton. Under these circumstances, and without any notification from the passenger/booker, any waiting time incurred is chargeable as per the above.
Should our vehicle be on the road between midnight and 04.00 hours, base to base, an additional anti-social hours surcharge will apply.
Any excess time or mileage over and above the stated allowances will be charged at either the standard hourly rate or the additional mileage rate.
Minimum hire charges apply for short distance transfers.
We accept all major credit and debit cards. Monthly account facilities are available on request (conditions apply). A 4% administration charge is applicable to all credit card transactions. There is no surcharge for debit cards.
Gratuities are at the client’s discretion.
Chauffeur’s overnight subsistence allowance is payable by arrangement. In addition, for each period of 8 hours hire, a meal allowance will be added.
Double fare is applicable for journeys from 18.00hrs on Christmas Eve up to and including midnight on Boxing Day and also from 18.00hrs on New Year’s Eve through to midnight on New Year’s Day.
Cancellation and Refund Policy
After the travel has taken place, the costs incurred are non-refundable. No payment will be authorised from the Customer’s preferred payment method until after the travel has taken place.
If a booking is cancelled by the Customer the day previous or prior to the scheduled travel date then no charges will apply.
If a booking is cancelled by the Customer on the day of travel, with more than 3 hours notice prior to the scheduled collection time, then 50% of the transfer price will be payable.
If a booking is cancelled by the Customer on the day of travel, with less than 3 hours notice prior to the scheduled collection time, then full charges will apply.
Travel requirements that are cancelled on the day but re-booked may not incur any charges but this shall be at the discretion of Crown Executive Cars.
If the customer is not in attendance at the time and place designated as the pickup point, the full charge will apply including any waiting & parking costs incurred by our driver.
Conditions of Hire
Every effort will be made by the Company to ensure that the vehicle(s) arrive on time and reach destinations on time. The Company shall not be held responsible or liable for any delays (and/or arising consequential losses) which occur for situations beyond its control.
If the hirer requests that the driver follows a specific route that is not necessarily the quickest or shortest route, the hirer is liable for any excess charges involved.
A reasonable amount of luggage is allowed but luggage that has not been declared at booking stage, which in the opinion of the driver amounts to excessive size, may not be carried. Other than normal hand luggage, cases etc. are not permitted in the seating area of the vehicle. The driver will load all luggage onto the vehicle. However, it is the passenger(s) responsibility to ensure that all luggage is loaded onto the vehicle before commencement of the journey.
The Company reserve’s the right to substitute any vehicle or chauffeur/driver.
The hirer must not act or request in any way, any action which contravenes or causes to contravene any part of any legislation which applies to the use of Vehicles as applied under the Road Traffic Act.
Under the terms of our insurance policy, the Company expressly prohibits any persons other than the Company’s own chauffeurs from driving their vehicle(s) and will only carry the number of passengers according to that vehicle’s seating capacity.
Our Insurers will not cover injury caused by passenger’s irresponsibility such as not wearing a seat belt or opening doors before the vehicle has come to a halt. Should a passenger cause damage to a vehicle, the Company will pass on the full costs of repair and loss of work for the time the vehicle was off the road. In the event of passenger illness within the vehicle, a charge of £100 will be made in respect of valeting and lost time.
Under UK Private Hire Regulations, small children do not require child seats and/or additional restraints. This is down to the hirer(s) personal preference and we have no objection to the hirer providing their own child seats (which can be stored at our offices pending their return transfer). Our drivers will not assist in the fitting of child seats or restraints and it is the adult passenger(s) entire responsibility to make sure any children in his/her care are properly secured.
The Company maintains a strict non-smoking policy in all of its vehicles along with UK legislation.
In addition, consummation of alcohol is strictly prohibited within the confines of the vehicle unless prior approval has been granted by the Company.
The Company and its Chauffeurs have the right to refuse to carry any passengers who are thought to be under the influence of alcohol or drugs and whose behaviour poses a threat either to the Chauffeur, the vehicle or any other passenger.
Subject to the above condition, the Company accepts responsibility for any damage caused to their vehicles by fire or collision and the Company’s legal liability for third party claims arising from the use of their vehicles. In the event of any incident, all passengers are covered by the Company’s £5,000,000 Public Liability Insurance.
The carriage of animals is by strict request and agreed in advance with the Company. The Company reserves the right of refusal (excluding guide/assistance dogs).
All invoices are to be paid 30 days from the date of invoice, unless otherwise stated. This is subject to agreement when opening account facilities.
Invoices are issued in GBP Sterling. Cheque payments must be drawn from a UK domiciled bank. Alternatively, credit/debit cards or electronic transfers to our bank account can be used to settle invoices.
Customers will be liable to pay costs for any action to recover monies outstanding. Any interest on monies outstanding will be chargeable at the sole discretion of the Company.
We endeavour to provide the highest standards of safety and service. Each vehicle is maintained in strict accordance with the Local Authority Carriage Office regulations and over and above the manufacturer’s recommendations.
The Company agrees to maintain adequate insurance in respect of its vehicles and in relation to the provision of the Services with a reputable insurance company against all insurance liability of such an amount as shall be determined by the Company. The Company shall upon written request of the Customer provide to the Customer copies of the Certificates of Insurance.
Nothing contained in our terms and conditions can affect the Customer’s statutory rights.
Data Protection Act 1988 Notice
Any personal data provided will be held securely in confidence and processed for the purpose of carrying out your travel requirements only. No personal data will be disclosed to any outside third party.
